The Head of Marketing Operations is in charge of the entire delivery operation for the Marketing department, overseeing execution of functions and operational aspects of all marketing initiatives including Brand, Communications, Alliances, Product Marketing, Demand Generation and others. The Head of Marketing Operations also manages the performance and optimization of the marketing department’s effectiveness, focusing on continuous improvement and ongoing success of all marketing programs.

What You’ll Do

  • Implement Product Development Process; lead teams to complete activities to current projects, keep documentation organized; identify process improvements;
  • Actively oversees a team of Project Managers and ensures conformance to agency standards and processes for all day-to-day aspects of developing detailed project schedules, managing project scope, documenting change requests, facilitating project meetings, reviewing all project deliverables for quality and accuracy, maintaining project documentation and identifying project risk;
  • Proactively drive a data-centric approach to measuring, monitoring and optimizing results for marketing programs;
  • Responsibility includes conceptualizing and defining new and/or modified product specifications while also providing accurate and timely recommendations of proposed processes and budgets;
  • Effectively manage all areas of projects including initiating, planning, executing, controlling and closing of projects;
  • Provide regular reporting and visibility on project statuses; leads management reviews and project meetings; develops and manages agendas, minutes and follow up with action items;
  • Define and oversee budgets & reporting for the Marketing team; develop implementation plans, develop and implement strategy; must ensure that project will effectively integrate with existing competing project and strategies to both short- and long-term business goals;
  • Identify and assemble project teams, identify in advance necessary resources and assign tasks and timeframes to facilitate successful completion of identified projects;
  • Primary point of contact for various strategic projects and interface with functional managers on resource issues on project issues with internal stakeholders as well as business leads;
  • Facilitate cross functional communication between Marketing, Business and IT Operations, etc;
  • Leads cross-functional teams of resources, drawing from other functional areas to ensure on-time delivery and a flawless launch to production;
  • Coordinate project personnel activities to ensure project progresses on schedule while maintaining quality standards;
  • Show proven expertise in functional areas and carry out leadership duties; contribute to progress of a team and effectively leverage a network of company resources;
  • Execute multiple high-quality integrated cross-functional project plans including development of project charters, schedules, milestones, budgets, issues and resources to meet project goals; incorporate technical, resource into project plans;
  • Responsible for cross-functional communications; act as liaison between teams and executive management; lead phase and business reviews as well as all other key communications;
  • Responsible for providing performance feedback for each participant on the project to appropriate functional manager; lead teams effectively and provide input to functional managers on teams and team member performance;
  • Mentoring/coaching other PMs, including understanding their projects and developing their knowledge of marketing communications, digital marketing, team processes, and PM skills;
  • Responsible for execution/implementation, life cycle management, and evaluation of all campaign activities. Collaborates with Marketing and Communication teams, external partners/agencies to design and bring marketing and communications programs to market;
  • Designs/develops approved programs consistent with EPAM branding standards, approved technologies, and governance policies;
  • Becomes an expert on marketing tools in use at EPAM and to identify gaps where other tools may be implemented. Request tools and training as needed;
  • Responsible for all program management activities including maintenance of the integrated program plan, weekly and ad hoc reporting of program and project status, identifying and escalating program risks;
  • Lead the planning process for the program including ensuring consistency in objectives, goals, and success measures;
  • Build and maintain relationship with all key stakeholders within and outside the program to ensure smooth delivery of results;
  • Ensure successful outcomes by facilitating scope, managing internal customer expectations, monitoring day-to-day execution and ensuring the program is on schedule;
  • Work with program leadership to identify and manage complex cross-project dependencies;
  • Drive special projects and analyses as required during the life cycle of the program;
  • Coordination of internal and external resources to maximize project and program success;
  • Manage internal/external event program, exhibition & warehouse vendor management, budgets, site coordination and approvals through to completion with team of 65+ events per year.

What You Have

  • 5+ years of experience leading people and working with complex and dynamic functions and solutions;
  • Experience using several methodologies including the scaled agile framework and traditional project management practices;
  • Project Management Professional (PMI) or equivalent Project Management certification;
  • Strong understanding of budgeting and financial analysis and modelling;
  • Bachelor’s Degree in related field required; advanced degree preferred;
  • Experience working in highly collaborative environments;
  • Solid experience in Project Management and/or process improvement, with proven ability to manage multiple demands successfully and within a matrixed organization;
  • Ability to lead change, strong change management experience;
  • Excellent communication, facilitation and presentation skills;
  • Strong relationship leadership and conflict resolution skills, with a proven track record of positively collaborating, influencing and extensively coordinating with internal and external partners including Senior Leaders;
  • Team player, comfortable to work with people from diverse cultural backgrounds, within a cross-border, remote team environment;
  • Exceptional organizational skills, with demonstrated ability to effectively manage multiple priorities;
  • Ability to be flexible, to prioritize multiple demands and effectively manage in a matrix organization;
  • Significant financial management experience, including cost center management, cost benefits analysis, project budget management and reporting;
  • Proficiency in Microsoft Project, Excel, Word, PowerPoint;
  • Familiarity with Jira, Confluence, SharePoint, OneDrive;
  • Events Management Knowledge.
